TalkTalk: Taking control of meeting rooms with Reserva.
When moving to new, purpose-built offices in 2017 – the Soapworks, Manchester – TalkTalk used Reserva Room Signage to deliver a fully integrated work space management system.
Having used Uniguest’s digital signage solutions previously, and with a desire to deliver an efficient and unified internal communications strategy, TalkTalk worked with Uniguest to deliver a modern, integrated digital signage and room booking system across the new office.

Phase 1: Delivering visibility and efficiency for all staff
TalkTalk had been using another room booking system across their other offices prior to the move to The Soapworks. However, they had concerns about the lack of integration between Outlook and the proprietary calendar system used by the room booking system leading to inefficiency and lack of visibility in using separate calendar systems for room booking and personal diaries.
When moving to the new offices therefore, TalkTalk was keen to re-evaluate these systems. The aims were chiefly to have a room booking system that was easy to use and that would integrate fully into the new Microsoft Office 365 system being introduced. Reserva stood out in this respect because unlike other systems, Reserva integrates with popular third-party calendar systems and doesn’t require the use of a proprietary calendar system.
It was important to TalkTalk that everyone had the ability to book rooms and not require permission from others, which had caused delays previously. With the exception of a few team specific rooms, the booking system needed to be open to the entire staff and provide visibility of who had booked each room. The flexibility in Reserva allowed this to happen, giving TalkTalk the ability to open up room bookings to all staff and limit permissions where
appropriate.
Phase 2: Enabling interaction to maximise workspace
utilisation
After the initial launch of Reserva room signage in the new office, TalkTalk then enabled the interactive element of the Reserva room signs. TalkTalk was keen to maximise the workspace they had available in the new office and enable ad hoc room booking as and when needed. Reserva is designed to make it immediately clear when a room is free or when it has been booked by using a bold colour display as well as bright LED lights at the side of the screens.
Beyond this, the Reserva screen also allows users to make room bookings directly from the screens, facilitating impromptu meetings and extensions to existing meetings.
By enabling the interactive functionality of the Reserva screens, TalkTalk has ensured that the workspaces available in the new office are utilised to maximum effect.
Reserva is better than our
previous system because it
integrates with Outlook so
as you book the meeting it
shows in Outlook, and if you
need cancel the meeting,
Outlook cancels it as well.

Standardising Reserva across TalkTalk offices
Following the successful use of Reserva room signage in the new northern offices, TalkTalk is now implementing the same integrated system into the UK Headquarters in London, The White Building. The new Soapworks offices in Manchester has brought a range of new technical developments to the company and TalkTalk is therefore in the process of a full technical refresh project for the HQ in Shepherd’s Bush.
Managed by many of the same team responsible for the Soapworks move, TalkTalk is recreating the same room booking system and structure in the HQ using the same integration between Reserva and Office 365.
Working with Uniguest
Due to the ongoing relationship between TalkTalk and Uniguest, they were able to deliver the project quickly and efficiently, working directly with Uniguest. For support in implementing and managing the Reserva system, TalkTalk has worked directly with Uniguest Support Team and has been pleased with the speed and efficiency with which issues have been resolved.
